This Privacy Policy applies to the C4 QuickBooks Reporting application (the
“App”), a private business tool operated by C4 Maintenance (“C4,” “we,” “us,” or
“our”). The App connects an authorized QuickBooks Online company to
reporting and automation services so C4 can monitor business performance,
prepare daily financial reports, and calculate key performance indicators.

PLAIN-LANGUAGE SUMMARY
The App processes connected accounting data only for authorized business purposes. We do
not sell information obtained through the App, and we do not use it for targeted or
behavioural advertising. Access is limited to authorized personnel and service providers
needed to operate, secure, and support the App.

1. SCOPE AND ROLES

WHAT THIS POLICY COVERS
This policy explains how the App processes information when an authorized QuickBooks Online
administrator connects a company account, uses the App, receives reports, or asks for support. It
applies to information obtained through the QuickBooks connection and to technical information
generated by the App.

C4 is responsible for deciding why and how the App is used for its internal business purposes. Intuit
and other service providers process information under their own terms and privacy notices when they
provide their respective services.

2. INFORMATION PROCESSED

DATA IS LIMITED TO THE REPORTING PURPOSE
Depending on the QuickBooks permissions granted and the reports requested, the App may process:
Connection and account information, such as the connected company name, company
identifier, authorized user information, OAuth access and refresh tokens, connection status, and
granted permissions.

Accounting and business information, such as chart-of-accounts data, balances, transactions,
invoices, bills, payments, expenses, revenue, receivables, payables, customers, vendors, classes,
locations, and other report fields available through the authorized QuickBooks connection.
Report and KPI outputs, such as profit-and-loss summaries, cash-flow indicators, trends,
exceptions, forecasts, calculated key performance indicators, and daily or periodic management
reports.

Technical and security information, such as timestamps, request logs, error messages, device
or browser information where available, audit records, and records used to protect and
troubleshoot the App.
Support information, including information voluntarily provided when an authorized user asks
for assistance.

QuickBooks passwords are not collected by C4 through the App. Authorization occurs through
Intuit’s OAuth process. C4 receives tokens that permit the access approved by the authorized
administrator.

3. HOW INFORMATION IS USED

WE USE DATA TO OPERATE AND PROTECT THE APP
We process information from the connected QuickBooks company to:

• authenticate and maintain the authorized QuickBooks connection;
• retrieve, organize, reconcile, and analyse accounting information;
• prepare daily and periodic financial reports, alerts, trends, and KPIs;
• support business planning, management review, and internal decision-making;
• administer, maintain, troubleshoot, and improve the App and its reporting workflows;
• detect, investigate, and prevent errors, misuse, fraud, or security incidents;
• respond to support requests and maintain audit records; and
• comply with applicable law and enforce our agreements.

We do not sell information obtained through the App. We do not use connected QuickBooks data for
targeted or behavioural advertising.

4. HOW INFORMATION IS SHARED

DISCLOSURE IS RESTRICTED TO NECESSARY RECIPIENTS
Information may be disclosed only as reasonably necessary to the following categories of recipients:

• Authorized C4 personnel and advisers who need access for finance, operations, accounting, legal, security, or support purposes.
• Technology and service providers that provide hosting, storage, authentication, security, automation, reporting, communications, analytics, or artificial-intelligence-assisted processing used to generate or deliver authorized reports.
• Intuit as necessary to establish, maintain, or revoke the QuickBooks connection and exchange authorized data.
• Authorities or other parties when required by law, legal process, or a valid government request, or when reasonably necessary to protect rights, safety, property, or the integrity of the App.
• A successor organization in connection with a proposed or completed merger, financing, reorganization, sale, or transfer of all or part of the business, subject to appropriate confidentiality protections.

Service providers are permitted to process information only for the services they provide and are
expected to protect it appropriately. The App is intended for C4’s internal use and does not make
connected accounting data public

5. DATA SOURCES
INFORMATION COMES FROM AUTHORIZED SOURCES

The App receives information from the connected QuickBooks Online company, from authorized users, and from the systems used to operate and secure the App. It may also create derived values, such as ratios, trends, classifications, exceptions, and KPIs, from connected data.

6. RETENTION
WE KEEP DATA ONLY AS LONG AS NEEDED

Connection credentials are retained while the QuickBooks connection remains active and are revoked or removed when the connection is disconnected or no longer needed. Accounting extracts, logs, and report outputs are retained
only as long as reasonably necessary for reporting, audit, security, legal, tax, and business record purposes. Residual copies may remain temporarily in protected backups until they are overwritten through normal backup cycles. We may retain limited information when required by law or to establish, exercise, or defend legal claims.

7. SECURITY
REASONABLE SAFEGUARDS PROTECT THE CONNECTION

We use administrative, technical, and physical safeguards appropriate to the sensitivity of the information, including access controls, credential protection, least-privilege access, secure transmission, logging, and service-provider controls. No system is completely secure, and we cannot guarantee absolute security.

8. CHOICES AND RIGHTS
YOU CONTROL THE CONNECTION

An authorized QuickBooks administrator may disconnect the App through the connected-app settings in QuickBooks or by contacting C4. Disconnecting stops new data access but does not automatically erase records that C4 must retain for legitimate business or legal purposes. Subject to applicable law, individuals may ask C4 to access, correct, or delete personal information associated with the App, or may raise a concern about its handling. We may need to verify identity and authority before acting on a request.

9. INTERNATIONAL PROCESSING
PROVIDERS MAY PROCESS DATA IN OTHER LOCATIONS

C4 is based in British Columbia, Canada. Some service providers may process or store information in other provinces or countries. In those locations, information may be subject to local laws and lawful access by authorities.

10. CHILDREN
THE APP IS FOR BUSINESS USE

The App is not directed to children and is not intended to collect personal information from anyone under the age of 13.

11. THIRD-PARTY SERVICES
OTHER SERVICES HAVE THEIR OWN PRIVACY TERMS

The App relies on QuickBooks Online and may rely on other technology providers. C4 does not control
those providers’ independent privacy practices. Use of QuickBooks Online remains subject to the
applicable Intuit agreements and privacy notices. The App may include links to third-party websites;
this policy does not govern those websites.

12. POLICY CHANGES
MATERIAL CHANGES WILL BE POSTED

We may update this policy as the App, our practices, or legal requirements change. The revised version
will show a new effective date and will take effect when posted, unless another date is stated. Where
required, we will provide additional notice or obtain consent.
